TATTOO INK PASSPORT
Since January 2022, EU regulation REACH (2020/2081) restricts over 4,000 chemicals in tattoo inks. Studios are required to document every ink used per session — brand, batch number, expiration date — under standard EN 17169:2020. InkFlow automates this with digital ink passports, automatically generated and emailed to clients.
Two frameworks, one goal: safer tattooing through full ink traceability.
Amends Annex XVII of EU REACH to ban or restrict over 4,000 chemicals previously used in tattoo and permanent makeup inks.
The CEN European standard for safe and hygienic tattooing practice — the legal foundation for the Ink Passport.
Enforcement is already active across the EU, and the consequences are real.
Sweden reported multiple tattoo inks through the EU's rapid alert system that contained lead levels 30,000× the legal limit. Some of these were still in use at EU studios. Without documented batch numbers, you cannot know if your stock is affected.
The Dutch public health service (GGD) regularly inspects tattoo studios for compliance. They check whether every session has a completed ink passport. Fines are issued for non-compliance. Some platforms (like Tattoogenda) now block payment processing unless an ink passport is completed, precisely because of GGD enforcement pressure.
A client develops an allergic reaction or infection. Without a documented ink passport, you have no way to prove which brand, batch, or expiration date the ink had. In a lawsuit, that absence of documentation shifts liability to you. Digital ink passports are your legal proof of due diligence.
Every field required by EN 17169:2020, plus additional fields for full traceability.
| Field | Why It Matters |
|---|---|
| Ink Brand | Identifies the manufacturer — essential for recall tracking. Intenze, Eternal, Kuro Sumi, World Famous, Panthera, and others are REACH-compliant. |
| Ink Name & Color | Specific product name and colour identifier (e.g., "Zuper Black", "Alchemy Orange"). Links the record to a specific product SKU. |
| Batch / Lot Number | The single most important field. If a batch is recalled, the lot number is how you check whether your client was exposed. Without it, you cannot participate in recall verification. |
| Expiration Date | Expired inks can harbour bacteria or degrade into harmful compounds. REACH requires that inks in use are within their shelf life. |
| Supplier | Links the ink to the distributor. If an issue is found, the full supply chain can be traced back to the source. |
| Artist Name | Which artist performed the session and used the ink. For multi-artist studios, this attribution is critical. |
| Session Date | When the ink was used. Links to the appointment record, consent form, and aftercare timeline. |
| Studio Location | Which studio location performed the session (for multi-location studios and mobile artists). |
Use this to audit your current setup. InkFlow automates steps 3–8.
Audit your current ink inventory
Check every bottle: does it have REACH-compliant labelling? Is it past expiration? Dispose of any non-compliant stock immediately.
Switch to REACH-compliant brands only
Intenze (Black Label / Gen-Z), Eternal (APEX series), World Famous (Limitless), Kuro Sumi Imperial, Panthera, Dynamic (Viking/Platinum), Radiant Evolved, I AM INK — these are verified REACH-compliant.
Set up digital ink passport templates
Pre-configure your common ink brands and colours so artists don't skip documentation. InkFlow does this automatically with 13 preset EU brands.
Integrate ink passport with session workflow
Artist completes the ink passport before payment is processed. Best practice: consent → session → ink passport → payment → client receives passport PDF via email.
Auto-generate PDF and email to client
Clients need a copy for their records. InkFlow auto-generates a PDF ink passport and emails it alongside aftercare instructions — no extra steps.
Store records with timestamps
Ink passports must be retained for liability purposes. Digital records with timestamps provide audit-proof documentation for health department inspections.
Monitor Safety Gate (RAPEX) alerts
The EU's rapid alert system reports dangerous products. If your ink brand appears on an alert, you need to check your batch numbers immediately against your passport records.
Train all artists on the workflow
Every artist in your studio must follow the same documentation process. One missed passport = one gap in your compliance.
Many studios still use paper logs. Here's why that's risky — and why digital is the only scalable option.
| Paper Logs | Digital (InkFlow) | |
|---|---|---|
| Batch lookup | Flip through notebooks — hope you wrote it down | Search across all records in 1 second |
| Recall response | Manually cross-check every client log against the recall list | Filter by batch number, identify affected clients instantly |
| Client delivery | Photocopy or take a photo — client loses it anyway | Auto-email PDF — client has it forever |
| Artist compliance | No enforcement — artists "forget" to write it down | Built into session workflow — cannot be skipped |
| Inspection readiness | Stack of notebooks — easy to lose, no timestamp proof | Exportable PDFs with timestamps — inspection ready in 2 clicks |
| Multi-studio | Each location keeps separate paper logs — fragmented | Centralized cloud — all locations, one system |
| Backup | Fire, water, or coffee spill = permanent data loss | Cloud-backed — never lose a record |

After finishing the tattoo, the artist opens the session summary in InkFlow. The ink passport form is pre-loaded with your studio's commonly used brands and colours.
Select the brand from a dropdown (13 pre-loaded EU brands). The colour field auto-fills with that brand's preset colours. Enter batch/lot number and expiration date. Takes 30 seconds.
InkFlow creates a formatted PDF ink passport with all the data — brand, batch, dates, artist, studio. The PDF is stored in the client's permanent record.
The PDF is automatically emailed to the client along with their aftercare instructions. One email, everything they need. The client keeps it forever.
